Sub-Processors, Service Providers, and Online Partners. We contract with various third parties who help us provide, maintain, and improve the Website and the services. For example, we use a third party to process payments made to us, and may subcontract production, fulfillment, analytics, reporting or other operations. We may also contract with online partners to help manage, monitor, and optimize our Website, and to help us measure the effectiveness of our advertising, communications and how visitors use the Website. Data Storage and Retention
Your Personal Information is stored by WOE on its servers, and on the servers of the cloud-based database management services it engages, located in the United States. WOE retains data for the duration of the customer’s business relationship with WOE, for the purposes indicated in this Privacy Policy, or for such other period as may be permitted or required by law, whichever is longest.
How We Protect Your Personal Information
Personal Information. We use industry standard physical, technical, and administrative security measures and safeguards to protect the confidentiality and security of your personal information. When you enter information on our registration or order forms, that information is encrypted using Transport Layer Security (“TLS”) technology. However, since the Internet is not a 100% secure environment, we cannot guarantee the security of any information you transmit to us.
Website Content. It is your responsibility to protect the security of your account and login information. Please note that content that you store or transmit through the Website or services, or e-mails and other communications you send to us, are not encrypted. You should not assume that your content will be kept private, and we strongly advise you not to communicate any confidential or sensitive information through these means.

An EU Data Subject has the right to access or rectify their Personal Information that WOE processes. Subject to certain exceptions, an EU Data Subject has the right to request that WOE erase that Personal Information or restrict the processing of it. When technically feasible, WOE will, at the EU Data Subject’s request, provide that person’s Personal Information to them or transmit it directly to another data controller. California Privacy Rights
Shine the Light. Under California’s “Shine the Light” law, California residents who provide Personal Information in obtaining products or services for personal, family, or household use are entitled to request and obtain from us once a calendar year information about the customer information we shared, if any, with other businesses for their own direct marketing uses. If applicable, this information would include the categories of customer information and the names and addresses of those businesses with which we shared that information for the immediately prior calendar year (e.g. requests made in 2020 will receive information regarding 2019 sharing activities).

Hello and thank you for your interest in participating in one or more of the upcoming WOE events! Below, please find the terms and conditions of your participation in WOE events. We offer flexible and affordable booth packages in order to keep WOE accessible to all types of vendors and patrons. This means that we need to be able to collect on invoices consistently from vendors who pay in a timely manner in order to promote our shows.
In order to lock in your booth space, you must complete a signup form on our Vendor Application page , wait for approval via email (or through your vendor portal for existing Vendors) AND pay the invoice in full. Booth placements are reviewed and individually invoiced per show. Deposits and payment plans are available but must be initiated and paid within 30 days of the show to guarantee placement at the venue. All invoices per show must be paid in full for admission to the show floor and payment plan schedules and structure may vary per show. Approval to attend does not guarantee your placement at the show until your invoice has been paid. All invoices must be paid out in full by the time of the event.

Booth Placement:
Placement of booths is at the discretion of the WOE staff to ensure a harmonious and cohesive patron experience. These placements cannot be changed once set, however, if there are special needs/requests (including wanting to be placed near a specific vendor) please ensure they are noted at point of acceptance so we can do our best to accommodate. It is your responsibility to make sure you’re setting up in the space allocated for you, so, before you unpack make sure you confirm with a WOE staff member on site that you’re in the right spot otherwise you may have to set up twice.
Vendor Booth Rental Fee
All booths are non-refundable and non-transferable.

(1) 10×20’ booth, four 6ft tables, four chairs, three wristbands, four tablecloths- $450 | $520 Two Day Show**
(1) 10×30’ booth, six 6ft tables, six chairs, five wristbands, six tablecloths- $675 | $760 Two Day Show**
**If you pay within 30 days from initial invoice you’ll receive a $25 credit after final payment.
Booth Add-Ons
Tattoo Booth– Acceptance is dependent on you submitting your information within the deadlines or you will be unable to tattoo at the event- booths are non-refundable. Tattooers may purchase more than one booth.

(2) $375 One Day Show | Two day tattoo booth is $430
Vendor Table Information
Vendor Table: Non-refundable.
This option is ONLY for a table at the event, not a booth. Additional tables are not available for this option**
(1) six foot table, two chairs, two wristbands, one tablecloth- $200 ($325 for two-day shows) fabric dividers (these cannot be used to hang or display merchandise but you may use banner hooks to hang your banner from the pipe and drape.)
You may choose not to use our tables/chairs but that does not decrease the cost of the booth.
Vendor Booth Upgrades
Requested upgrades are non-refundable and will be added to the cost of the standard booth at time of invoice:
+$75 access to electricity only for standard booths- not for table only options.
+$50 for guaranteed corner placement (while supplies last)
+$25 per extra table
+$20 per extra wrist band
*If you find you need upgrades after the invoice has been paid additional invoice(s) will be generated. However, upgrades regarding electricity access will not be possible after the vendor map is finalized. Be sure to order it if you need it now.
Booth Limits
The entirety of your display must fit within the allotted space that you have paid for.
Food & Beverage:
The venues we work with have strict rules regarding the sale of food and beverage by outside vendors. While you are freely able to sell consumable goods, you cannot make/serve patrons, nor can you offer consumables as free samples. All consumable goods must be packaged for retail sale.
Live Animals:
Live animals are prohibited in exhibits at WOE events unless specifically authorized and prearranged in writing by the show promoter. The sale of all live animals is strictly prohibited at WOE events and only service animals are allowed on the show floor.
Promotion:
While on the show floor, you are not permitted to display/disseminate promotional materials for other like events without expressed permission from staff. Use of Image:
While at WOE, your picture or video may be captured by our media team and be included in future promotional materials.
Discretion in Presentation:
Please remember that this is an all ages event. While we at WOE do not restrict what you sell beyond the bounds of state/local law, venue requirement (consumables), bats, and human remains, we ask that you exercise your best judgment with regard to the placement and display of items which may not be appropriate for all viewers.
Hate Speech/Bullying:
We at WOE do not tolerate hate speech or the inclusion of items/products which promote hateful/harmful rhetoric. If such is on display at your booth, you will be asked to pack and leave immediately.
Damage to WOE Property:
It is expected that Vendors and their staff will behave in a safe and professional manner throughout the event as well as during the set up and break down of the show. If WOE property is damaged/destroyed/removed without prior written authorization by you or a member of your staff, you will be charged the full replacement cost for the item(s) and any associated fees as a result.
Damage to YOUR Property:
You (and your staff) are solely responsible for the safety, security, and tracking for your products/displays/promotional materials/personal effects. WOE is not responsible or liable for your lost/damaged/misplaced/stolen items.
Damage to Venue Property:
WOE is not responsible or liable in the event that you (or your staff) damage/displace/destroy or otherwise remove venue property. In such an event, you (proprietor) and the venue will work directly with each other to resolve the issue.
Load-In Protocol
We do our best to get everyone in in a timely fashion. We give you a courtesy day to load in. Check your load in instructions, but it’s typically the Friday before the show from 12pm-6pm. We also allow vendors to set up on Saturday from 6am – 9:45am. We strongly encourage you to get your booth set up on Friday.
We absolutely insist that you bring your goods to your table and then remove your vehicle as a courtesy for other vendors to move in.
It’s imperative that you load in and immediately remove your vehicle to park before you set up your booth, so that other vendors can do the same. Failure to observe this basic courtesy can result in your vehicle being towed from the loading dock.
We ask all vendors be checked in at the very latest no later than 9am Saturday. This allows us to account for all booths on the floor to ensure a seamless set up.
Load Out Protocol
Once the event ends at 8pm- vendors may begin to load out. Loading out before 7pm is not permitted and detracts from the overall patron experience. Any vendor loading out before 7pm may result in not being able to attend other events without a refund. If for some reason something arises and you need to leave the show floor early- please bring it to the attention of WOE staff immediately.
No Call/ No Shows If you do not show up to an event without any communication, this will result in denial from participating in future events without refund.
Facebook Event Pages
It is very important. To us at woe that you succeed. As such, you will see our ads all over your social media platforms, in store windows, and community boards throughout your city, you’ll hear us on the radio, and you’ll see us in the sky on billboards throughout your travels. But there are things you can do to help our advertisements be even more impactful.
PLEASE do not make duplicate Facebook Event pages. This confuses patrons and can create misinformation about pertinent event details. Please just add the main event page to your business page.
State & Local Laws:
The World Oddities Expo is committed to conservation and education. Wildlife products are allowed but it is the duty of the vendor to observe and obey all local, federal, and international wildlife laws. The World Oddities Expo is not responsible or liable for any infractions. With that said if you are made aware of something and choose to disregard it you could be asked off the show floor and you will not be welcome back. Irresponsible collecting has endangered certain animals namely bats and as such they are not welcome to be sold at the World Oddities Expo. We thank you to all who take responsible stewardship seriously. This is our world. By submitting an Event Application, you indicate that you have acknowledged, understand and agree to all terms, conditions, and policies above.
